ABOUT THE ROLE

Our client is a US-based law firm serving high-net-worth clients and their advisors. They are looking for a Legal Executive Assistant & Matter Coordinator to act as the attorney’s right hand and the main point of contact for clients and advisors. This person anticipates needs, keeps matters moving, and handles details before they become problems.

The role suits a detail-oriented, self-motivated professional with strong customer service skills. A law degree or legal background (including an overseas-trained attorney) is a strong advantage. You will manage matters from intake through funding, coordinating clients, advisors, and attorneys to keep every file on track.

KEY RESPONSIBILITIES

Client & Advisor Communication

  • Serve as the primary liaison between high-net-worth clients, their advisors, and the attorney by phone, email, and Zoom.

  • Stay calm and professional with anxious or demanding clients, keeping communication clear and reassuring.

  • Triage incoming clients and matters, and escalate urgent items appropriately.

Matter Management

  • Quarterback matters from intake through funding, tracking each step and keeping clients and attorneys moving toward completion.

  • Follow up persistently and professionally with the attorney and other stakeholders to secure decisions, signatures, and approvals.

  • Apply experience from similar past matters to anticipate next steps without needing step-by-step instructions.

Calendar & Scheduling

  • Coordinate and maintain the attorney’s calendar.

  • Schedule meetings across multiple time zones.

Documents & Drafting

  • Draft correspondence, asset alignment letters, deeds, agreements, and other routine legal documents for attorney review.

  • Proofread and format documents in Microsoft Word to a polished, professional standard.

  • Process, organize, and file documents accurately.

Research & Support

  • Research how to complete unfamiliar tasks (legal or procedural) and apply what you learn independently.

  • Use the firm’s tools, including Microsoft 365, WealthCounsel, DecisionVault, Westlaw with CoCounsel, File & ServeXpress, Dashlane, Plaud, and Claude.

REQUIREMENTS

  • Proven experience in a legal assistant, paralegal, legal coordinator, or executive assistant role; law degree or legal training strongly preferred.

  • Excellent attention to detail, especially in drafting, proofreading, and formatting.

  • Strong customer service and client-facing communication skills by phone, email, and Zoom.

  • Advanced proficiency in Microsoft Word, Outlook, and Excel.

  • Strong written and spoken English at a professional level.

  • Ability to work independently, self-start, and anticipate needs based on prior experience.

  • Reliable attendance and availability for the full required schedule (see Working Hours).

  • Stable internet connection and a quiet, professional remote workspace.
